Overview

IDG is seeking a seasoned Executive Assistant to support IDG's CMO and CHRO.The Executive Assistant will play a pivotal role in ensuring the efficiency, effectiveness, and strategic focus for these executive offices . This position demands exceptional organizational skills, a high level of discretion, and the ability to handle sensitive information with confidentiality. The seasoned Exeutive Assistant will have a high sense of urgency and problem-solving skills, as well as the capacity to handle a wide range of responsibilities, including administrative tasks, communication management, project coordination, and strategic support. Other responsibilities will include lighter support for the EVP, Transformation Business Operations for IDG.

Responsibilities

Administrative Support:

  • Manage executives' calendar, schedule appointments, and coordinate meetings, conferences, and travel arrangements.
  • Prepare and organize documents presentations, and reports for internal and external meetings.
  • Handle expense reports, invoices, and other financial documentation.
  • Organize team meeting cadences, including preparation of agendas, notetaking
  • and following up with responsible parties on associated actions and deadlines

Communication & Relationship Management:

  • Serve as the primary point of contact between the executives and internal/external stakeholders.
  • Build and maintain strong relationships with key stakeholders, including executives and external partners.
  • Act as a liaison between the executive and other team members, fostering effective communication.

Event Planning:

  • Coordinate and plan special events and team meetings as required.
  • Ensure all logistical arrangements are in place, including travel, venue selection, catering, and invitations.

Qualifications

  • Bachelor's degree or equivalent experience
  • 10-15 years of proven experience as an Executive Assistant supporting C-level executives.
  • Exceptional organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in office software and tools, including Microsoft Office Suite and calendar management applications.
  • Strong problem-solving skills and the ability to work independently.
  • High level of emotional intelligence and mindful stakeholder management.
  • Discretion and confidentiality in handling sensitive information.
  • Adaptability and the ability to thrive in a fast-paced, ambiguous and dynamic environment.

This role is located in our Needham office, with a hybrid work schedule of 1-3 days a week in the office.

Salary range and additional compensation, including discretionary bonuses and incentive pay, are determined by a rigorous review process. This process considers the experience, education, certifications, and skills required for the specific role, equity with similarly situated employees, as well as employer-verified US region-specific market data provided by an independent 3rd party partner. The expected total annual compensation, depending on location and experience, is between $100,000 and $120,000 and is inclusive of base salary and variable compensation (if applicable).
