Senior Event/Conference Producer

Event and Conference Management Team

Full-time, Boston or Springfield (Hybrid)

The Opportunity

MassMutual is hiring for the role of a Mastery Event/Conference Consultant. In partnership with the team lead, you will provide a consistent planning approach across all events by consulting with internal lines of business to execute small to medium size meetings and events. You will be responsible for executing the stakeholder’s vision within the budget parameters. Execution responsibilities will include sourcing, contracting, registration website management, leading meetings with internal stakeholders, maintaining the project plan, food and beverage management, development of event specification guides, communications with stakeholders, full on-site execution, and post event reconciliation.

The Team

MassMutual’s Event and Conference Management team manages all MassMutual sponsored conferences, events, and meetings from discovery through execution. Our strategy is to streamline event management, identify cost savings, and seamlessly execute MassMutual sponsored events.

The team is comprised of highly collaborative, seasoned event planning, production, and registration professionals. The ECM team works the enterprise to support the end-to-end process of sourcing, planning, and delivering a meeting. The ECM team partners closely with senior leaders and functional event teams to enhance overall event experience while creating efficiencies and lowering risk for all meeting formats (in-person, virtual, & hybrid).

The Impact

  • Management of MassMutual business programs/meetings and events, which would include consulting with stakeholders on their meeting requirements, leading project planning, managing the meeting budget, sourcing event venues, contract management, attending travel in conjunction with travel management vendor, developing website and mobile applications, managing food and beverage, etc.
  • Development of program specs and communications with suppliers to clearly communicate execution needs of the event
  • Facilitation of planning meetings with stakeholders
  • Strong Communication and partnership with event stakeholders ensuring awareness of execution success dependencies
  • On-site execution of the event, including leading pre-con meetings, supplier load in and set up, on-site registration management, staffing management, etc
  • Attendance of regular meetings and collaboration with the ECM Director, event stakeholders, suppliers, and other ECM support team members
  • Ordering of on-site event supplies as needed, including but not limited to, office supplies, name badges, and signage
  • Project management of event registration websites and mobile app builds, including proofing and editing with strong attention to details
  • Support and lead development of special projects and standard operating procedures to improve department processes and organization as needed
  • Aid in training of new and upcoming team members on event planning processes
  • Have a team mentality, effectively collaborating with fellow team members areas across the enterprise.

The Minimum Qualifications

  • 10+ years experience in meeting/event/conference planning
  • 7+ years experience in incentive/recognition event planning
  • 7+ year experience with international meeting and event planning
  • 7+ years in large scale event planning with audiences of 2,500+
  • 3+ years of experience with CVENT
  • 3+ years of experience with Event Project Management tools, i.e. Airtable or similar
  • 3+ years of experience in PowerPoint
  • Availability to work nights and weekends as needed for event execution
  • Ability to travel up to 75% of time throughout the year in various US and possible international locations

The Ideal Qualifications

  • Bachelor's degree
  • Experience working for an Event Agency
  • Tech-savvy and able to learn/adopt new technology tools and platforms quickly

  • Project management/program management skills
  • Advanced experience with AirTable
  • Organized and able to plan appropriate project timelines, work backward from deadlines, identify milestones and owners, and execute against a plan
  • Excellent written and communication skills
  • Ability to work with a variety of behavioral styles & levels of management
  • Ability to think and adapt quickly to a fast-moving range of issues while remaining calm under pressure
  • Ability to be proactive, anticipate and problem solve quickly
  • Strong budgeting acumen
  • Strong attention to detail
  • Continuous improvement mindset with a commitment to introducing new and innovative ideas and communications approaches

Salary Range:

$102,500.00-$134,500.00
