Job Description:

This position is responsible for supporting the Director of Nursing and the Nursing program by representing the Director of Nursing and Nursing program, organizing the daily operation and management of the office; preparing various documents; making office and department purchases; and maintaining filing. This position will also help enhance the colleges and departments customer service reputation by assisting students and visitor and directing them accordingly. Assisting with coordination and maintenance of nursing accreditation and nursing program requirements is imperative with this position.

RESPONSIBILITIES:

  • Represents the Director of Nursing to the public by handling and screening incoming telephone calls; recording and transmitting messages; receiving and announcing scheduled visitors; screening unscheduled visitors.
  • Assists with scheduling and rescheduling appointments/meetings on and off campus as directed by the Director of Nursing.
  • Provides office services support for Director of Nursing by inputting data; proofreading documents; gathering information; preparing reports; maintaining files; ordering and maintaining supplies and equipment.
  • Keeps information confidential by following confidentiality policy.
  • Supports inter and intra departmental cooperation by contributing to effective working relationships.
  • Answers questions for current and prospective students.
  • Assists with maintaining and coordinating nursing contracts.
  • Maintain files and records so they are up-to-date and easily accessible.
  • Handle travel arrangements for Director of Nursing and faculty.
  • Assists with maintaining budget files such as Procard management.
  • Make purchases as directed for the department office.
  • Assists with collecting/delivering staff timecards.
  • Book rooms and coordinates needs such as food, set up etc. for events and meetings.
  • Takes meeting minutes.
  • Manage faculty committee minutes and review typed documents, when needed.
  • Utilize office equipment, such as photocopiers, printers, fax, and computers, for word processing, etc.
  • Assist in office management.
  • Proofread typed material for grammatical, punctuation, and spelling errors, and for proper format, accuracy, and completeness.
  • Assist with coordination and maintenance of files for college and nursing accreditation.
  • Assist with the coordination and organization of nursing events and activities such as pinning; BSN information sessions etc.
  • Assists with tracking and maintaining faculty and student information.
  • Contributes to a safe and secure environment by following established procedures.
  • Completes other responsibilities as directed by the Director of Nursing or Dean of the School of Health & Patient Simulation.


Requirements:

  • High School diploma required.
  • Three (3) years of full time, or equivalent part-time experience in office work.
  • Must possess excellent customer service skills.
  • Very good knowledge and experiential utilization of MS Office applications.
  • Very good knowledge and experiential utilization of Google applications.
  • Strong proven computer skills.
  • Strong data entry skills.
  • Good multi-tasking, scheduling, telephone skills, and meeting planning.
  • Evidence of analytic and problem solving skills.
  • Detail oriented.
  • Excellent written and verbal communication skills.
  • Organized and self-motivated.
  • Professional and Dependable.
  • Experience and appreciation for a diverse and inclusive community.
  • Must be a team player.
  • Prior work experience in higher education strongly preferred.

Preferred Qualifications:

  • Associate's Degree
  • Bilingual (English/Spanish) desired
  • Prior work experience in higher education

Additional Information:

Salary: $46,888.86 annually, Grade 13/Step 1
Benefits: Yes, Full Time Position 37.5 hours per week, Monday-Friday, 8 am-4 pm. Flexibility required for events and accreditation.
